Nepal Everest Himalaya Hiking Pvt. Ltd. is a legally registered trekking company under the Nepal Company Act and accepts your booking under the following Terms and Conditions.
Before confirming any Himalayan trekking, tour trip, or other travel-related service in Nepal, it is important to understand our policies on booking confirmation, payment, cancellation, and other relevant matters. These Terms and Conditions form a legally binding agreement between Nepal Everest Himalaya Hiking Pvt. Ltd. (hereinafter referred to as “the Company”) and you (the “Client”). They outline the services to be provided and form the basis of your legal relationship with us.
Our professional team at Nepal Everest Himalaya Hiking Pvt. Ltd. is dedicated to making your Himalayan journey safe, enjoyable, and special. We are friendly, honest, and always ready to assist you, ensuring your trip is smooth, well-organized, and full of adventure. These documents form the legal foundation of your agreement with Nepal Everest Himalaya Hiking Pvt. Ltd. All travelers are expected to review them carefully, as they outline the rights, responsibilities, and obligations of both the company and the client for any trekking, tour, or related services. Your acknowledgment ensures a safe, transparent, and well-organized experience throughout your Himalayan adventure.
The Agreements
We strongly encourage all clients to read these Terms and Conditions carefully before booking any trip with Nepal Everest Himalaya Hiking Pvt. Ltd. By confirming a booking with us, you acknowledge and agree to be bound by the conditions stated herein. The following Terms and Conditions govern the relationship between you (the Client) and Nepal Everest Himalaya Hiking Pvt. Ltd. (the Company). Both parties agree to these terms to resolve any legal or other matters that may arise during or in connection with the trip.
General Terms and Conditions Overview
By confirming a booking with Nepal Everest Himalaya Hiking Pvt. Ltd., you confirm that you have read, understood, and accepted all the Terms and Conditions outlined below. These terms are designed to ensure transparency, fairness, and mutual understanding between the Company and the Client. They define the responsibilities, rights, and obligations of both parties during the booking process, trip preparation, and the travel period. We kindly request all clients to review these conditions carefully before making any payments, as they form the legal foundation of your contract with Nepal Everest Himalaya Hiking Pvt. Ltd.
Detailed Terms and Conditions
The following terms and conditions outline the specific rules, responsibilities, and policies that govern all bookings made with Nepal Everest Himalaya Hiking Pvt. Ltd. Please review each point carefully before confirming your trip.
1. No Cash Refunds or Fund Transfers
Nepal Everest Himalaya Hiking Pvt. Ltd. follows a non-refundable payment policy. Once payment has been made for any trekking, tour package, or related service, no cash refunds or fund transfers will be provided under any circumstances, including cancellations, no-shows, unused services, or partially utilized services.
However, we want your payment to remain valuable. The amount you’ve paid can be applied toward a future trekking or tour package, or transferred to a family member, friend, or nominee, in accordance with our Terms and Conditions. Our team will gladly assist you in rescheduling your trip or arranging a transfer, ensuring your payment remains secure and can still be used for a meaningful travel experience.
Please note that the credit amount can only be used for future trips or services if available and allowed under our Terms and Conditions at the time of rebooking.
2. Trekking and Tour Package Pricing
The prices listed for trekking and tour packages on our website apply only to group-joining trips. Individual guided trips may have different rates. Please contact us for detailed pricing before booking.
3. Cost Breakdown of Trip
The total cost of the trekking or tour package is provided as a single amount. A detailed breakdown of the cost is not provided at the time of booking
4. Trip Booking and Payment
Please, contact us once before you transfer the fund to book your trip with us at Nepal Everest Himalaya Hiking Pvt. Ltd. The Banking Account Details will be provided to you when the Trip Booking is confirmed with us- To Book any types of Himalayan Trekking Tour Trips, you must send us a confirmation e-mail at [email protected] or message over WhatsApp No.:+9779808717598 with minimum 50 (Fifty) percent advance payment of your Total trip cost. This will comprise acceptance by you of our Terms and Conditions. You need to submit a copy of each passport copy and passport size photograph to our office via email/WhatsApp to issue Trekking Permit and National Park Permit. Rest of trekking cost should be paid as Second installment in Nepal before Trip Starting to Himalayas in Nepal.
The final full payment must be submitted at the Office Premises of Nepal Everest Himalaya Hiking Pvt. Ltd. before the trip departure. Otherwise, you will not be legitimate for trip and no final documentation will be disclosed before the payment.
Note: Bank Fund Transfer service charges related to submitting a deposit are the Responsibility of the client.
5. Cancellation & Refund Policy
We understand that travel plans can change. If you need to cancel your trip, please inform us in writing by email, WhatsApp, or any other digital method, and include the reason for cancellation.

Even when a cash refund is not possible, your remaining money can still be used for another trip if eligible. Our team will gladly help you plan and reschedule your next Himalayan adventure.
6. No Refund Policy
All payments made to Nepal Everest Himalaya Hiking Pvt. Ltd. are non-refundable, including in the case of cancellations or changes by the client. Once the trip has started, no refunds will be provided for dropping out or for unused portions of the itinerary, including accommodation, meals, transportation, guide or porter services, permits, or any other included services.
However, as outlined in Point 5 – Cancellation & Refund Policy, under certain conditions, a portion of your payment may be applied toward a future trekking or tour package. This is not a refund, and such credit can only be used in accordance with the Terms & Conditions. Clients are strongly encouraged to review all policies carefully before booking, as no cash refunds are available.
7. Responsibility
Nepal Everest Himalaya Hiking Pvt. Ltd. is committed to providing a safe, enjoyable, and memorable travel experience. While our tours, transportation, accommodations, and services are carefully arranged, unforeseen events—such as natural disasters, political unrest, flight cancellations, delays, illness, accidents, or other circumstances beyond our control—may occur. The Company, its employees, and agents are not responsible or liable for any such events, or for death, injury, or loss arising from participation in the trip. Travelers acknowledge, understand, and accept these risks, and agree to take full responsibility for their own safety. Activities not arranged by the Company are entirely at the traveler’s own risk, although general assistance may be provided where appropriate.
8. Acknowledgment of Risk
Trekking in the Himalayas is an incredible adventure through breathtaking landscapes, but it also comes with natural challenges that require preparation and attention. While our treks are well-planned and our team is dedicated to supporting travelers’ safety and well-being throughout the journey, unforeseen events may still occur.
Trekking in the Himalayas involves natural risks, including accidents, illness, injury, disability, or death. Nepal Everest Himalaya Hiking Pvt. Ltd. is not responsible for any such events or other circumstances beyond its control. By participating, travelers acknowledge these risks, understand them fully, and agree to take full responsibility for their own safety.
9. Travel Insurance
All guides, porters, and staff of Nepal Everest Himalaya Hiking Pvt. Ltd. are fully insured by the company. Travelers are responsible for arranging their own comprehensive travel insurance and must provide proof of coverage before the start of their journey.
Travel insurance should cover medical emergencies, treatment costs, accidents, emergency evacuation (including helicopter evacuation if necessary), trip cancellation or interruption, and loss, theft, or damage of personal belongings. All costs for treatment and emergency evacuation must be either paid by the traveler themselves or covered directly by their travel insurance provider. Travelers are strongly advised to review and confirm the terms, coverage, and limits of their insurance policy before departure.
By booking a trip with Nepal Everest Himalaya Hiking Pvt. Ltd., travelers acknowledge and accept full responsibility for arranging and maintaining adequate travel insurance coverage. The company does not provide insurance coverage for travelers and will not be held liable for any costs, losses, or damages incurred due to lack of insurance.
10. Promotion
Nepal Everest Himalaya Hiking Pvt. Ltd. use images of you taken during the trip without recourse to you and without compensation to you, for publicity and promotion purposes only through whatever medium it chooses.
11. Privacy
During the trip booking process, we have to ask you any questions to collect the necessary information from you to obtain permits and arrange your trip. No private or personal information you supply to us will be used at any other time for any other purposes, nor will it be disclosed to third parties.
12. Complaints
If you have any subject of complaint about the tour, you must notify to the tour leader or guide as well to Management Team at the earliest and provide opportunity to correct them on real time basis.
13. Addition Charge
On our trekking and tour packages, rooms or tents are provided in twin sharing basis. Thus, single room supplement charge will be imposed to client who does not have another tour participant to share room or tent with others Also an additional charge except agreement of booking, the clients most pay in extra charge.
14. Service Missed or Unused
There will be no discounts or money refunded for missed or unused services, this includes voluntary or involuntary termination/departure from tour, i.e. sickness, family issues etc., late arrival on the tour, or premature departure either voluntarily or involuntarily.
15. Use of Photos and videos
Our guide and staff or photographer may take photos and videos during your trip and we may use those materials to promote our business through our website and social media.
16. Incomplete Trip
We are not liable for any refunds for any meals, accommodation, or any services not used during the trip tour, trek, or expedition, whatever the reason from the customer’s side or the reason from situation that is out of control of the Company. If you commit any unlawful act during the trip and are compelled to leave Nepal, we are not liable for any refunds. We pay for trek and expedition upfront to our guide and porter to cover all expenses during trip already. If you come back early from the trek or tour, you will need to take care of extra days’ hotel, meals and other expenses yourself.
17. Acceptance of Risk and Liabilities
Nepal Everest Himalaya Hiking Company is dedicated to serve best by completing our duties honestly to make your journey smooth & successful. However, we and our related organization shall not be responsible for any changes in the itinerary due to unavoidable circumstance beyond our control such as govt. restriction, Land slide, road blockage, flood, bad weather, political unrest, cancellation of flight, delay, sickness or accident and nature of some of our trip is adventurous and risky, thus these may engage your personal risk. Nepal Everest Himalaya Hiking Company would like to inform you that you need to take all risk on yourself such as damages or injuries or death resulting from these natural risks.
18. Responsibility for Trekking Conditions and Advisory Instructions
19. Flight delays and changes in the itinerary
Please be prepared that Himalayan Trekking Tour activities are always unpredictable. The main reason is bad weather conditions in mountain regions causing domestic flight delays. In case of delayed flights during departure (starting of the trip) or return (ending of the trip), the client is responsible to bear all additional expenses including food and accommodation costs. If you wish to make alternative arrangements such as a helicopter flight to avoid flight delays, all additional costs would be your responsibility. Additionally, Nepal Everest Himalaya Hiking does not accept any responsibility for costs incurred as a result of a missed international flight but would assist to make alternative arrangements wherever possible. Please note that while on the field, we may have to make some changes in the itinerary due to unforeseen circumstances not under our control. However, we will stick to the itinerary as far as possible.
If the flight is cancelled or get delayed due to fluctuate climate or any other causes, Nepal Everest Himalaya Hiking Pvt. Ltd. is not responsible for the extra expenses or compensation. We can manage alternative arrangement on special request which may demand other extra cost.
20. Passport and Visa
All clients must have a valid passport with at least six months of validity from the return date. Nepal Visa can be obtained from the Nepalese Embassy or Consulate in your country or upon arrival at Tribhuvan International Airport in Kathmandu. Visa processing issues are the responsibility of client.
21. Authentication of Enquiry
We keep right to Authenticate the Enquiry for the Verification purpose. The process of authenticating the enquiry includes speaking over video call on our official WhatsApp, Facebook Page Messenger with Valid Identity Card and documents.
22. Right of not to share Job Opportunities information
We keep right not to share job opportunities related information on the comment section of our Facebook, Instagram as well over Phone, WhatsApp and email.
23. Right of not to share Privacy related information of the Company
We reserve the Right not to share the Privacy related information of our Company "Nepal Everest Himalaya Hiking Pvt. Ltd.
24. Nepal Everest Himalaya Hiking Company is not Responsible for unofficial Booking and Transaction
Any unofficial booking or transaction made in the name of Nepal Everest Himalaya Hiking Pvt. Ltd. without the knowledge of the Management Team at the company’s office will be considered completely fake and invalid, and the company will not be responsible for it.
25. Distance, Drive Hours, Walking Hours mentioned on itinerary is approximately & may differ while Trip is being made.
The Distance and driving hours as well walking hours mentioned on Trekking tour itinerary is approximately and may differ while making the trip practically depending on the traffic, road condition, trail condition, followed trek route, walking speed and so on as applicable
26. Price or Cost Subject to Change and are not fixed
The price or cost of the tour package or provided service may vary depending on when it is booked and paid. Prices are subject to change and are not fixed.
27. Tipping to Guides & Porters
Tipping is expected by Trekking Guides & Porters who are involved in Trekking Tour Adventure Activities of Nepal. Tip is very important source of income for them as a reward for a service. Tips are greatly appreciated in Trekking Tour Adventure Activities of Nepal. Guides and porters have very tough jobs and they often get surprisingly little compensation for their work.
28. Trip Postponement Policy
Nepal Everest Himalaya Hiking Pvt. Ltd. understands that travel plans can sometimes change due to unforeseen circumstances. While all payments are non-refundable, we aim to provide flexibility to ensure your investment is not lost.
If you need to postpone your trip, please notify us in writing as soon as possible. The amount you have paid can be applied toward a future trekking or tour package, or transferred to a family member, friend, or nominee, subject to availability and in accordance with our Terms and Conditions.
Postponed trips should ideally be rescheduled within 12 months of the original departure date unless otherwise approved by the company. Please note that rescheduling may be subject to seasonal price changes, itinerary modifications, or applicable policies.
Our team is always ready to assist you in arranging a postponement, ensuring that your payment remains secure and can still be used for a meaningful travel experience.
29. Accommodation
During Himalayan treks, accommodations are arranged in local tea houses, lodges, or small hotels along the trail, where space and facilities can vary from place to place. Rooms are generally shared by 2 trekkers, and sometimes more, depending on availability. Each person normally has a separate bed; however, sleeping arrangements may occasionally be adjusted to accommodate all participants. Our guides will organize rooms fairly to ensure everyone has a comfortable place to stay. Travelers are encouraged to remain flexible and understanding, as conditions in the Himalayas can differ from one location to another. By booking with Nepal Everest Himalaya Hiking Pvt. Ltd., travelers acknowledge and accept these arrangements and agree to cooperate with local practices, ensuring fairness, safety, and comfort for all.
30. Authentication of Enquiries
To ensure that all enquiries are genuine, accurate, and legitimate, Nepal Everest Himalaya Hiking Pvt. Ltd. reserves the right to request verification of traveler information for the purpose of confirming enquiries prior to finalizing any trip.
Such verification may include the submission of identity documents or communication via WhatsApp, Facebook Messenger, or other secure platforms that support video calls.
All verification procedures are conducted with professionalism and confidentiality to ensure a safe, transparent, and reliable service for all travelers.
31. Updating of terms and conditions
The company reserves the right to update and amend these Terms and Conditions at any time. It is the responsibility of the client to stay informed of any such changes. The current version of the Terms and Conditions will always be available on the website: www.nepaltrekkinginhimalaya.com, and it will be the version referred to in any dispute.
No individual employee, representative, or guide of the company can alter the Terms and Conditions. Any waiver or exception can only be granted in special circumstances with written approval from the Managing Director. Only the Managing Director has the authority to amend these Terms and Conditions.

Nepal Everest Himalaya Hiking Pvt. Ltd. company follows a clear and fair policy to ensure transparency and fairness for everyone. Once you have agreed to these terms, no refunds, changes to payments, or any exceptions to the conditions mentioned can be made.
